Notifications and Digests

Two different things send you email, controlled in two different places. One is about you — something is waiting on your decision. The other is about the organization — a summary of what happened.

"Work waiting on you"

A per-person toggle at Settings → Personal → Notifications, titled exactly that, on by default. Its own description states what it covers:

Email me when a plan review, QA or release is routed to me, or a question or a Claude permission request is assigned to me (at most one an hour for the same thing)

So it fires on the four things that page a person:

  • a gate routed to you — Plan review, QA, or Release
  • a question assigned to you
  • a Claude permission request assigned to you
  • a new request waiting for you as the project's triager

The email names the task, says what is being asked, and links to it. Which gate goes to whom, and how a question finds a person, is question routing.

The hourly rule

At most one email per hour for the same task, the same person and the same reason. Not one email an hour in total — the throttle is per (task, person, reason), so two different tasks both waiting on you will both reach you. A reason that is still open after the hour is emailed again; one that has been dealt with is not.

FlightDesk queues the email when the write that caused it commits, and sweeps the queue every minute, so a minute is the worst-case delay. A send that keeps failing is given up on after five attempts and logged rather than retried forever.

Turning the toggle off stops these emails for you. It does not stop the work being routed to you — it still appears on your Needs attention board.

The other personal toggles

The same page carries the account notifications: organization invitations, new team members, role changes, security alerts, login notifications and password changes. Those are unrelated to the pipeline.

Digests

Digests are about the organization, and they are configured by owners and admins at Settings → Organization → Reporting.

There are two, and each recipient is opted into them individually:

  • a daily digest of the previous day, sent at midnight
  • a weekly digest of the previous week, sent Monday at midnight

Midnight in the reporting time zone set on that page, not in each recipient's own zone — so everybody's digest covers the same day.

Both are built from what FlightDesk already records, so there is nothing to instrument. The recipient list is chosen from the organization's active human members; a member without an email address cannot receive one, and the page says so on their row.

Two buttons — Send me today's daily now and Send me this week's weekly now — mail the current digest to you and nobody else, and neither is recorded as a sent digest. Use them to see what recipients will get before adding anyone.

Because the recipient list is the access control on the digests, only owners and admins can change it — a member cannot tick themselves, or anybody else, onto it.

The personal Weekly Digest toggle

There is a separate Weekly Digest toggle on your own notifications page, off by default, covering a weekly summary of organization activity. It is not the same setting as the organization's reporting digests; the organization's recipient list is what governs those.
